Q: I need to add another CMIS user to my organization. What do I need to do?
This article will outline the onboarding process for CMIS end users.
A: There are up to four (4) steps that have to take place for a new user to join CMIS.
Read what those steps are here, and let Housing Alliance Delaware know if you have any follow-up questions.
1. Notification
Contact Housing Alliance Delaware at
cmis@housingalliancede.org to let us know that a new user needs to be added to the system. As there are now multiple CMIS staff that works with training and onboarding users, sending this notification to our Support Desk email ensures that you get the quickest response.
At minimum, we will need to know
1. Their name
2. Their email address
3. Which program(s) they will be working with in CMIS
2. Licensing
Note that this step may not be applicable to all agencies.
For some agencies, Housing Alliance Delaware may realize that there are no unoccupied licenses under the agency's inventory. Should this be the situation, HAD staff will let the Agency Administrator or program manager know, to make a decision on how to move forward.
To make sure that there is an unoccupied license that this new user can assume, HAD may suggest:
1. For the agency to review current CMIS end users and delete the login of an inactive user (to avoid this, keep HAD updated with staffing changes and CMIS needs) so that the new user can assume their license.
2. For the agency to purchase an additional CMIS license for their agency's inventory. This would include additional invoicing, based on the CMIS Fee Schedule. This newly-purchased license will be available for the incoming end user.
3. Documentation
1. The CMIS Policies & Procedures Manual should be reviewed by all CMIS end users and their Agency Administrators.
2. CMIS users must sign a User Policy Agreement on an annual basis. A new user must complete (by initialing and signing) a User Policy Agreement and send it to Housing Alliance Delaware.
NOTE: The Agency Administrator or incoming end user can request to have this document sent and e-signed by Housing Alliance Delaware, and CMIS staff will track the document that way.
4. Training
Federal requirements state that anyone onboarding CMIS must complete training prior to being given acess to the system. Anyone who violates this rule is breaking CMIS Data Security protocol.
Once Housing Alliance Delaware is sent a completed User Policy Agreement, they will set the incoming CMIS user to the CMIS Training Portal, which is hosted at
cmis.talentlms.com.
After completing the New User Certification, the user will schedule follow-up meeting with someone at Housing Alliance Delaware. At this New User follow-up meeting, Housing Alliance Delaware will provide the end user with their login to CMIS.
