Incoming Referrals: Clients Module

This article explains how to respond to Referrals sent by Centralized Intake for the following project types, which utilize the Clients Module for data entry:
  1. Rapid Rehousing (RRH)
  2. Scattered-site Permanent Supportive Housing (PSH)


HOW TO LOCATE INCOMING REFERRALS


Referrals sent by Centralized Intake to programs that utilize the Clients Module for data entry (RRH and scattered-site PSH) can be accessed on the client level, or through an individual's profile in CMIS. There are two methods to locate and react to a client's Referral in CMIS.

A. Outstanding Referrals are located in the client's profile under the Summary tab.
1. Scroll to the bottom of the Summary tab to locate the Outstanding Incoming Referrals section. If the Outstanding Incoming Referrals section is not visible on the Summary tab, contact Housing Alliance Delaware.
2. Click the pencil edit icon to respond to the referral to update the Outcome (see next section).



B. All incoming Referrals are located in the Service Transactions tab.
1. On the Service Transaction Dashboard, click View Entire Service History.

2. On the "Entire Service History" table, click the Referrals tab to filter down to Referrals sent in CMIS.

3. Click the pencil edit icon next to the referral to update the Outcome (see next section).





HOW TO RESPOND TO A REFERRAL


1. The Referral Outcome column will be blank for all outstanding referrals. Click on the pencil edit icon next to the date of the Referral you are updating.

2. Update the Referral Outcome, located in the Referral Data section.
  1. Select Accepted if your organization will be enrolling the client into a program.
  2. Select Declined if your organization is choosing not to proceed with the client's Referral for any reason.
  3. Select Canceled if your organization cannot proceed with the client's Referral due to a decision on the client's side.

3. If "Declined" or "Canceled" is selected for the Referral Outcome, another assessment line appears that says, "If Canceled or Declined, Reason". Select the option that best matches why the Referral was not accepted.



4. No other information on the Edit Referral page needs to be updated. Click the Save & Exit at the bottom of the page to update the Referral.

5. For Accepted Referrals, continue to project entry process through the Entry/Exit tab.
