Long Stayers (Outliers)
Why this happens:
Long Stayers warnings are prompts to review certain
enrollments, not automatic errors. They identify enrollments that appear
unusually long for the project type so staff can confirm whether the client is
still active and whether the enrollment dates are accurate.
- This warning is used to review whether a project
is moving clients to housing within the expected local timeframe.
- It also helps confirm that the enrollment length
is accurate and reflects the client’s actual stay.
- Keeping this information current improves data
quality and strengthens performance reporting.
How the warning is calculated
- For some project types, CMIS flags the
longest-staying enrollments by percentile.
- For other project types, CMIS compares each
enrollment length against the expected maximum period of assistance set for
that project type.
- If the client is still active and the enrollment
is accurate, no data change is required.
Project types flagged at the top 2% of longest
enrollments
- Emergency Shelter - Entry/Exit
- Transitional Housing
- Rapid Re-Housing
- Homelessness Prevention
Project types flagged at the top 1% of longest
enrollments
- Permanent Supportive Housing
- Permanent Housing with Services (no disability
required for entry)
- Permanent Housing - Housing Only
How to fix this:
1. Open the client’s record.
2. Review your notes for the client.
a. If the client has already left the program,
click the pencil icon next to the Exit Date for the project entry assessment.
Back date the exit date to the exact day that the client stopped receiving
services through your program. Fill out the exit assessment and then click Save
& Exit.
b. You do not need to do anything If the client is
still active in your program.
