Oldest Household Member Under 12
Why this Happens: The system flags data inconsistency
if a household contains no members age 18 or older, but the oldest child is
recorded as under 12.
Examples: This error usually happens for the following
reasons:
o
The date of birth for an adult or child was
entered incorrectly.
o
The parent/adult was left out of the project
enrollment entirely.
o
The parent/adults in the household were exited from
the project early. However, the children in the household are either: still open
under the project enrollment or were closed out of enrollment after the parent/guardians’
date of exit.
o
The parent/adults project enrollment was deleted
either by accident or to fix a mistake. However, the enrollment was not deleted
for every member of the household and there is a child still open under the
project.

How to fix it:
Option 1: Check for an unintended early adult exit
Search for the client using the Client ID or
Personal ID.
- Review the household members. Confirm whether
the adult has a project exit date while the child under 12 still has a blank
exit date.
- If the child should have been exited, for
shelter enrollments, manually backdate the
exit using the “Exit Date” field. For all other project types, use backdate
mode. Then click the edit pencil next to the child’s blank exit date.
- Enter the same exit date and destination
recorded for the adult.
- Click Save & Exit. Matching the child’s exit
to the adult’s exit should clear the error.

Option 2: Delete an enrollment left open by mistake
If the parent’s enrollment was deleted but the child’s
enrollment remains open, delete the project enrollment from the child’s
profile.
- Open
the Entry/Exit tab for each child under 12 and note the project start
date.
- Go to
the parent or adult’s profile and review their Entry/Exit tab. Confirm
whether that project enrollment is missing from the parent or adults
entry/exit enrollments.
- If the
enrollment was left on the child’s profile during a partial cleanup, click
the trash can icon next to the enrollment row on the child’s screen to
delete it.
- If
more than one child in the household still has the open enrollment, repeat
this process for each affected child.

5. For
shelter project enrollments, go to the Service Transaction tab and delete the
shelter stay before deleting the enrollment.

6. If
you try to delete the enrollment from the Entry/Exit screen first, the system
will display a warning.

7. Select
“View shelter stays” from the second row of options.

8. Click
the trash can icon next to the correct shelter stay.

9. Confirm
that you selected the correct shelter stay, then click Delete.

10. The
project enrollment should now be removed from the Entry/Exit tab. If it still
appears, the shelter lock has been removed, and you can delete the enrollment
directly from the Entry/Exit tab.
Option 3: Add a missing parent or guardian, or correct a
date of birth
If the family is/was active in your program, you must either
add the adult to the project enrollment or fix the DOB if it’s been entered
incorrectly.
- Go to the Household tab and verify each
household member’s date of birth. If a date is incorrect, open that client’s
profile, click the pencil icon next to Client Demographics, and update it. If the date reverts to the original entry after you click Save, contact the CMIS Team at cmis@housingalliancede.org. If the
date of birth is not the issue, continue to step 2.


2. Open the child’s project enrollment by clicking
the edit pencil icon next to the project start date.

3. Select “Include Additional Household Members.”
If the parent or adult was left out of the intake, check the box next to their
name and make sure their entry date matches the child’s entry date.


4. Scroll to the Relationship to Head of Household
section and confirm that the added adult is listed as Head of Household by
selecting “Self (head of household).”

5. Scroll to the bottom of the page and click Save
& Exit to clear the error.
